A practical fleet-check cycle

Start with the right fleet data, then keep the inspection evidence connected to the asset.

Road Ready brings the records that sit behind an inspection—vehicle type, vehicle condition, assigned driver, required check template and log history—into one fleet-admin workspace.

01 / DEFINE

Set the fleet context.

Maintain fleet name and reference, organisation contact details, notes and the optional DVLA API-key setting.

02 / REGISTER

Record vehicles and drivers.

Link a vehicle to its type and assigned driver, then hold technical detail, key dates, driver availability and contact information.

03 / CHECK

Issue the relevant checklist.

Build dedicated pre- and post-trip templates by vehicle type, including the categories and required items that matter.

04 / REVIEW

Respond to the log.

Open the vehicle inspection record, review submitted defects and acknowledge individual items when action is complete.

Vehicles and drivers with the operating context intact

Make each vehicle a usable fleet record, not only a registration number.

Vehicle types, drivers, asset dates and assignment status form the context for the mobile check and the later inspection log. Road Ready keeps these records central rather than storing them separately from the inspection process.

01

Set the vehicle-type library

Create types across cars, vans/LCVs, HGVs/trucks, minibuses, motorcycles, plant, trailers and other equipment, with descriptions for the fleet.

02

Maintain the vehicle record

Store registration, type, make, model, year, colour, assigned driver, MOT and service dates, renewal cycles and notes. Use the optional DVLA lookup where configured.

03

Keep driver accountability clear

Maintain driver licence number, phone, email, employee ID, work status and notes, then assign the relevant driver to the vehicle.

Checklists built around the asset, not a generic form

Create pre- and post-trip templates that mirror the inspections your operation actually needs.

The checklist builder creates a separate pre-trip and post-trip item set for a selected vehicle type. This lets an administrator set the correct detail before sending the work into the mobile inspection flow.

01

Use both trip moments

Define a distinct pre-trip and post-trip list so checks can match when the driver begins and completes the operational journey.

02

Classify the items that matter

Use categories including tyres, engine, lights, brakes, fluids, body and glass, safety equipment, documents, fuel, load/cargo, mileage and general checks.

03

Mark essential items as required

Apply a required flag to a checklist item and maintain it alongside the label and category as the operational standard changes.

The Road Ready mobile app

Put the correct pre- or post-trip check in the driver’s hand, then return the completed inspection to the fleet record.

The mobile-app function uses the current fleet and checklist configuration to support field inspections. An administrator can share the mobile-app URL directly, launch it in a new tab, or create QR access and vehicle stickers for practical fleet deployment.

01

Prepare the mobile inspection data

Export fleet data, checklist data or both as JSON so the mobile app reflects the current vehicles, drivers and check templates.

02

Issue the mobile-app entry point

Copy the mobile-app URL, open it in a new tab, or generate QR access. Drivers scan the QR code to open Road Ready on their phone and can save it to the home screen for fast access.

03

Complete the trip check in the field

Drivers use the mobile app to complete the configured inspection and identify any items that need attention before or after a trip.

04

Bring the outcome back to the administrator

Completed mobile inspections appear in the central inspection logs, where the fleet team can review defects, acknowledge individual actions, and open any linked accident report in the related vehicle history.

05

Report an accident through the mobile app

Drivers can open the configured Report Accident screen to capture incident detail, required form answers, a narrative and any available photo evidence for administrator review.

Live accident reporting

Capture the incident on the mobile app, then make the full report part of the fleet record.

The enhanced Road Ready Manager adds a structured Report Accident workflow that joins the relevant vehicle history. A driver can submit a mobile report, and the fleet administrator can view it from the central report list or the linked vehicle log.

01

Configure the report your drivers complete

Build the active mobile accident form with sections, required fields, ordering and input controls including text, select, number and slider responses.

02

Capture structured incident information

Record core incident information, date, time, vehicle, driver, incident type, location, structured answers, a narrative and photo evidence where supplied.

03

Review the live submitted-report list

Refresh and filter the central accident report list by registration, inspect the saved detail and see the associated photo count.

04

Link the report to the vehicle history

The related vehicle log is marked with the linked accident report, which can be opened in a dedicated viewer and printed for the fleet record.

Your fleet product images, when you are ready

Keep every visible product asset under your own control.

No fleet screenshot, compliance dashboard, checklist diagram, QR code, vehicle sticker, accident report, evidence photo, graph, chart or inspection mock-up is bundled with this landing page. Add your own assets by replacing the static placeholders in the HTML source.

Inspection history that remains actionable

Review the completed check, see the defect detail, and acknowledge the action in the central fleet record.

The check-log view is the central review point for completed mobile inspections. Managers can filter inspection type, open individual entries, expand defect detail and update the record when the attention point has been addressed.

Vehicle inspection logs

Open and refresh a vehicle’s own inspection logs from the fleet record to review the history in asset context.

Pre- and post-trip evidence

Completed inspections from the mobile app are retained in the central log with their associated inspection type.

Defect acknowledgement

Expand a submitted inspection to examine the defect items, then acknowledge individual items from the administration workflow.

Attention control

Maintain an attention indicator for check-log action so unresolved inspection detail is visible to the fleet administrator.

Linked accident record

When an accident report is submitted from the mobile Report Accident flow, the related vehicle log indicates the connection and opens the structured report for review or printing.

Fleet data that stays usable beyond the current screen

Keep fleet, checklist, inspection and setting information ready for synchronisation, export and the next fleet review.

Road Ready uses server-backed data operations for fleet configuration, checklist templates and inspections. The administrative workspace shows status and saving feedback while the mobile data exports keep the configured information portable.

01

Separate fleet and checklist exports

Export the fleet or checklist configuration individually when only one part of the mobile inspection data needs to be refreshed.

02

Use a combined fleet package

Create the combined export when the mobile operation needs both fleet records and checklist templates together.

03

See saving status in the admin view

Server connectivity and save feedback remain visible as the fleet data, templates, settings and inspection records are maintained.
